Digitizing manual workflows for complex processes
the challenge
Grant Thornton faced the challenge of reducing human error stemming from manual management while optimizing the time employees spent on data collection and validation.
These were complex tasks involving multiple departments and diverse user personas. Our mission was to lead the digital transformation of these legacy manual processes into a streamlined digital experience.

The project involved a vast number of processes to be digitized, alongside multiple platforms requiring updates and integration.
The design team, in collaboration with the Project Manager, divided the workload into batches, estimated each phase, and defined the delivery roadmap
User Interviews and Usability Testing

We conducted user interviews with Grant Thornton employees to understand their daily workflows and the specific tasks we needed to design.
We also performed shadowing and contextual observations as they used existing digital tools, allowing us to identify current complexities and gather key insights for the future design.

A fundamental part of our work was defining the diverse and complex user profiles within the platform.
We structured the content based on role-based access control, ensuring that each user interacted only with the material relevant to their permissions.
Collaborating directly with the users, we co-designed optimized workflows that served as the definitive blueprint for the final design.

Leveraging Grant Thornton’s brand guidelines, we developed a comprehensive design system capable of supporting all current and future digital platforms across the organization.

The project’s greatest challenges were managing multi-role workflows and ensuring information clarity so users knew exactly what to do at every stage.
For each workflow, we meticulously designed the user-system interactions tailored to every specific role involved.

We designed every screen and its variants to cover all the specific use cases required by the project.
By creating 'Master Screens' as components, we were able to seamlessly integrate them into every stage of the workflow, ensuring consistency and efficiency.
